Warden.bot
Warden is a discord bot for the Anti-Xeno Initiative Discord Server. Based on Discord.js, warden is a combination of systems that culminate in a relatively advanced custom built discord bot for the needs of the AXI.
It is set up and maintained by members of the Anti-Xeno Initiative.

This User Data and Privacy Policy explains how Warden (“Warden”, “the bot”, “we”, “us”) accesses, uses, stores and shares information when it is used in the Anti-Xeno Initiative Discord server.

Warden is a community-management and utility bot operated for the Anti-Xeno Initiative (“AXI”), an Elite Dangerous community.

2. Contact – Your Choices and Rights
You may use this contact to ask questions, report a privacy or security concern, or request access to, correction of or deletion of data associated with your Discord account. Contact: https://antixenoinitiative.com/contact
You can choose not to use voluntary features such as leaderboard submissions.
Moderation and security logging cannot be individually disabled while participating in the AXI Discord server. Leaving the server stops Warden from processing new server activity associated with your account.
You have the right to:
- Ask whether we process personal data about you.
- Request a copy of your personal data.
- Request correction of inaccurate data.
- Request deletion or anonymization of your data.
- Request restriction of certain processing.
- Object to processing based on legitimate interests.
- Receive data you provided in a portable format, where applicable.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with the data-protection authority responsible for your place of residence.
Send requests to the contact procided.
Deletion requests may result in the removal or anonymization of leaderboard entries and may prevent us from continuing to provide features that depend on the deleted information to you.
3. Information that Warden processes
Depending on which features you use and which events occur in the AXI Discord server, Warden may process the following information.
Discord account and server information
Warden may access:
- Your Discord user ID.
- Your username, display name and server nickname.
- Your Discord account-creation date.
- The date and time you joined the server.
- Your server roles.
- Your server membership status, including when you join or leave.
- Discord channel, message and interaction identifiers.
Warden does not request or use Discord presence information, such as your online status or current activity.
Leaderboard submissions
When you voluntarily submit a leaderboard record using the /command, Warden may process and store:
- Your Discord user ID.
- Your Discord display name or server nickname.
- Submitted gameplay results, such as times, scores, ship information, weapon or ammunition information and damage information.
- Comments included with the submission.
- Links submitted as evidence.
- The submission date and identifier.
- Whether the submission is awaiting review, approved or rejected.
- Discord message identifiers associated with the staff-review process.
Approved leaderboard records may be displayed in Discord or through AXI’s public leaderboard service. This may include the member’s display name, gameplay results and submitted evidence link. Users should therefore avoid including unnecessary personal information in comments or linked evidence.
Rejected submissions are removed from Warden’s leaderboard database through the staff-review process.
Edited and deleted messages
Warden uses Discord’s Message Content privileged intent for moderation audit logging.
When a non-bot message is edited, Warden may process:
- The message author.
- The original text.
- The updated text.
- A link to the Discord message.
When a message is deleted, Warden may process:
- The original message text, where it remains available to the bot.
- The message author.
- The Discord user who deleted the message, where this can be determined from Discord’s audit log.
These records are posted to restricted Discord moderation or logging channels accessible only to authorized AXI staff. Warden does not store edited or deleted message outside discord.
Warden does not archive all ordinary server conversations. Message content is accessed for the specific purpose of recording edited or deleted messages for moderation and community safety.
Join, departure and account-age logs
When a member joins the server, Warden compares the account-creation date with the server join date. If the account was created within the preceding 24 hours, Warden posts an alert in a restricted staff channel containing relevant account and membership information.
This alert is provided to moderators for review. It does not automatically punish, remove or restrict the member.
When a member leaves or is removed from the server, Warden may post a restricted staff log containing the member’s Discord ID, display name, original join date and roles at the time of departure.
Technical and operational information
Warden and its hosting environment may create technical logs needed to operate, secure and troubleshoot the bot. These logs may include:
- Command, interaction or event identifiers.
- Discord user, guild, channel or message identifiers relevant to an error.
- Timestamps.
- Database or API error information.
- Information about failed or completed bot operations.
Warden does not receive your IP address, email address, telephone number, Discord password or Discord authentication token through Discord’s bot API.
4. Why we process this information
Warden processes information only where needed to provide its stated functionality, including:
- Providing user-requested commands and community utilities.
- Receiving, reviewing and publishing leaderboard submissions.
- Authorizing staff-only and role-restricted actions.
- Maintaining moderation audit records for edited and deleted messages.
- Alerting staff to newly created accounts joining the community.
- Recording member departures for moderation and community-security purposes.
- Preventing abuse and protecting the AXI community.
- Diagnosing errors and maintaining the reliability and security of Warden.
- Complying with applicable legal obligations and Discord’s platform requirements.
Where the GDPR applies, processing is generally based on our legitimate interests in operating, securing and moderating the AXI community and providing Warden’s requested functionality. Where applicable, processing may also be necessary to provide a feature requested by the user or to comply with a legal obligation.
We balance these interests against the privacy rights and reasonable expectations of affected users.
5. Privileged Discord intents
Warden uses the following privileged Gateway intents:
Server Members Intent
This intent is used to:
- Receive member join and departure events.
- Access server-specific member information and roles.
- Check account and server join dates.
- Authorize role-restricted commands and staff actions.
- Resolve the correct member for leaderboard and moderation functions.
Message Content Intent
This intent is used to create restricted moderation records when messages are edited or deleted.
Warden does not use Message Content access for advertising, profiling, general conversation analytics or artificial-intelligence training.
6. How information is stored
Moderation records, join alerts and departure logs are stored as messages inside restricted Discord moderation-channels directly and do not leave the platform.
Temporary information may also be held in memory or Discord’s client cache while Warden is running. This information is used only as needed to process events and provide bot functionality.
Structured leaderboard data is stored in a private MySQL database used by Warden.
Access to Warden’s database, configuration and restricted moderation-channels is limited to authorized maintainers, moderators and service providers who require access for their responsibilities.
7. Retention and deletion
We retain personal data only while it remains reasonably necessary for the purpose for which it was collected.
In particular:
- Rejected leaderboard submissions are deleted from the leaderboard database through the staff-review workflow.
- Approved leaderboard records are retained while needed to operate and preserve the relevant leaderboard. Identifying information may be deleted or anonymized following a valid deletion request.
- Moderation logs, account-age alerts and departure records are retained while reasonably relevant to moderation, abuse prevention, community security or an active investigation.
- Technical logs are retained only for as long as reasonably needed to diagnose problems, maintain security and operate Warden.
- Temporary in-memory or cached information is discarded when it is no longer needed or when the relevant cache expires.
Information may be retained for longer where reasonably necessary to establish, exercise or defend legal claims, investigate abuse, comply with law or respond to a binding request from a competent authority.
When Warden stops operating, personal data obtained through Discord’s API will be deleted or anonymized unless continued retention is required by law.
8. Sharing and public display
We do not sell personal data or Discord API data.
We do not share personal data with advertising networks, data brokers or services that create profiles of Discord users.
Information may be processed by or disclosed to:
- Discord, because Warden operates through Discord’s platform.
- Our bot, database and infrastructure hosting providers, acting as service providers.
- Authorized AXI administrators and moderators where access is required for moderation, security, leaderboard review or technical maintenance.
- AXI’s public leaderboard services where a submission has been approved for publication.
- Competent authorities where disclosure is required by applicable law.
9. Artificial intelligence, advertising and profiling
Warden does not:
- Use message content or other user data to train artificial-intelligence or machine-learning models.
- Sell or license Discord user data.
- Use user data for targeted advertising.
- Create commercial profiles of Discord users.
- Use Discord data to make decisions concerning employment, housing, insurance, credit or similar eligibility matters.
Warden’s account-age alert is a moderation aid for human staff. It is not an automated punitive decision.
10. Security
We use reasonable administrative and technical measures intended to protect information against unauthorized access, disclosure, alteration, loss or destruction.
No online system can be guaranteed to be completely secure. If we discover unauthorized access affecting user data, we will investigate, take appropriate remedial action and notify Discord, affected users or authorities where required.

11. User Age
Warden is not directed to anyone below the minimum age required to use Discord in their country.
We do not knowingly use Warden to collect data from anyone who is prohibited from using Discord because of their age. If you believe this has occurred, contact us so the matter can be investigated and the relevant data deleted where required.
12. Changes to this policy
We may update this policy when Warden’s functionality, data practices, service providers or legal obligations change.
